Marketing Project Manager

Position Summary
Good Boy Vodka is seeking a highly organized, execution-focused Marketing Project Manager to serve as the central point of coordination for marketing projects across the organization.
This individual will own the intake, prioritization, organization, communication, and tracking of marketing requests coming from internal teams, wholesalers, retailers, partners, and other stakeholders. The Marketing Project Manager will ensure that every request has clear direction, appropriate priority, realistic timelines, and defined ownership before work begins.
A major responsibility of this role will be managing the workflow of Good Boy’s graphic design team. The Marketing Project Manager will organize and prioritize creative projects, assign work based on urgency and capacity, communicate expectations clearly, track progress, and ensure deadlines are met.
This role will support requests across the organization, including projects submitted by coordinators, Brand Managers, Sales teams, Field Marketing Managers, leadership, and the VP of Marketing.
The ideal candidate is a highly organized doer who enjoys bringing structure to a fast-moving environment and making sure projects move from request to completion without getting lost, delayed, or misunderstood.
Key Responsibilities
Project Intake & Ownership
- Serve as the central point of intake for marketing project requests across Good Boy.
- Manage requests from internal marketing and sales teams, wholesalers, distributors, retailers, national accounts, event partners, sponsorship partners, and other external stakeholders.
- Ensure every request includes the information required for successful execution before work is assigned.
- Clarify project objectives, deliverables, dimensions, quantities, deadlines, markets, account requirements, and other necessary details.
- Push back on incomplete, unclear, or unrealistic requests and obtain the information needed before projects enter production.
- Maintain visibility into all active, upcoming, completed, and delayed projects.
Project Prioritization
- Evaluate incoming requests based on business priority, deadlines, revenue opportunity, national or regional importance, retailer requirements, event timing, production lead times, and leadership direction.
- Establish and communicate project priorities across the Marketing team.
- Reprioritize work when urgent business needs arise while clearly communicating the impact on existing timelines.
- Help prevent unnecessary rush projects by identifying upcoming needs earlier.
- Escalate priority conflicts to Marketing leadership when necessary.
- Ensure the most important business needs are completed first rather than allowing projects to be prioritized solely by who requests them most urgently.
Creative Workflow Management
- Own the day-to-day workflow and project queue for Good Boy’s graphic artists.
- Assign projects based on designer capacity, skill set, deadlines, and project complexity.
- Provide designers with complete creative briefs and project requirements.
- Establish clear deadlines and expectations before work begins.
- Track rounds of revisions, approvals, and final deliverables.
- Protect the creative team from conflicting direction and unstructured project requests.
- Consolidate feedback from multiple stakeholders whenever possible before sending revisions back to designers.
- Monitor designer workloads and identify capacity issues before deadlines are affected.
- Ensure final creative files are approved, organized, and delivered to the appropriate teams or partners.
Project Management Systems
- Own and maintain Good Boy’s marketing project management platform.
- Use project management software to organize requests, tasks, priorities, timelines, dependencies, approvals, and ownership.
- Create standardized workflows for common project types.
- Maintain dashboards that provide visibility into active projects, deadlines, bottlenecks, overdue tasks, and team capacity.
- Establish clear naming conventions, project statuses, priorities, and workflows across the Marketing department.
- Ensure team members consistently use the project management system rather than relying on scattered emails, text messages, or verbal requests.
- Continuously improve processes as the company and Marketing organization grow.
Wholesaler & Partner Project Coordination
- Manage marketing and creative requests submitted by Good Boy wholesalers, distributors, retailers, accounts, agencies, sponsorship partners, and other external partners.
- Confirm requests align with Good Boy brand standards and business priorities.
- Communicate realistic timelines and expectations to external stakeholders.
- Coordinate required approvals between Sales, Marketing, Brand Management, Creative, and external partners.
- Track deadlines tied to retailer resets, distributor meetings, programming, events, promotions, and account-specific initiatives.
- Maintain clear records of requests and deliverables so teams can easily reference prior work.
Cross-Functional Communication
- Serve as the communication bridge between project requestors and the creative team.
- Provide regular updates on project status, timelines, changes, and delays.
- Ensure internal stakeholders understand what information is required before submitting requests.
- Coordinate projects involving Brand Managers, Sales, Social Media, Events, Field Marketing, National Accounts, wholesalers, and leadership.
- Help prevent duplicated projects and conflicting requests by maintaining centralized visibility across Marketing.
- Communicate quickly when timelines are at risk and provide solutions or revised expectations.
Timelines & Accountability
- Establish realistic timelines for projects based on scope, priority, approvals, creative capacity, production requirements, and external deadlines.
- Track projects from intake through completion.
- Follow up with project owners when approvals, information, or decisions are delaying progress.
- Identify bottlenecks and proactively resolve them.
- Hold project stakeholders accountable for providing feedback and approvals on time.
- Maintain clear documentation of project changes and decisions.
- Provide Marketing leadership with visibility into overdue projects, workload, and recurring process issues.
Creative Asset & File Organization
- Work with the creative team to ensure approved assets are stored and organized consistently.
- Maintain clear systems for final artwork, working files, retailer assets, POS, packaging, sponsorship materials, event assets, social content, and sales materials.
- Help establish version control so teams consistently use the most current approved assets.
- Coordinate delivery of final files to printers, wholesalers, retailers, agencies, partners, and internal teams as needed.
- Help build institutional knowledge by maintaining organized records of completed projects and previous creative work.

Qualifications
- 4+ years of experience in marketing project management, creative operations, traffic management, marketing operations, agency project management, or a related field.
- Demonstrated experience managing a high volume of simultaneous projects.
- Strong experience working directly with graphic designers or creative teams.
- Experience using project management platforms
- Exceptional organization and attention to detail.
- Strong written and verbal communication skills.
- Ability to establish priorities and make decisions in a fast-moving environment.
- Comfortable communicating with employees at all levels of the organization, including senior leadership.
- Ability to manage competing priorities without losing visibility into deadlines or deliverables.
- Strong follow-through and accountability.
- Experience working with beverage alcohol, CPG, retail, distributors, agencies, or fast-growing consumer brands preferred.
