The Executive Assistant will support the executive team in all administrative daily functions. Reporting directly to the CEO, this role serves as the primary point of contact for internal and external constituencies on all matters pertaining to the brand’s leadership team. The ideal candidate will be self-motivated, honest and professional; able to work in a confidential manner and with great discretion and judgment; persistence and a sense of urgency are key along with strong awareness of attention to detail. The main objective of this role is to empower the executive team to work more efficiently and effectively.
Provide all aspects of daily support to the CEO, CRO, CFO, and COO which includes calendar management, travel arrangements, travel documentation, meeting coordination, answering/screening calls, forwarding messages, monitoring and addressing critical email correspondence and preparing expense reports.
Track action items and deliverables for the executive team and proactively schedule preparation meetings.
Schedule, prepare, and attend internal meetings to include preparing agendas and follow up action items for meetings.
Prepare and maintain presentations and reporting materials.
Work on special assignments that may be complex in nature where judgment and initiative are required in resolving problems and making recommendations.
Facilitate and schedule visits from/to vendors, customers, and key executives.
Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on items to successful completion.
Prepare correspondence, memoranda, reports, etc. and respond appropriately and with utmost professionalism to correspondence and memoranda.
Responsible for managing meeting and event planning as required.
Work closely with People Operations and Internal Communications for planning company gatherings, retreats, blitzes, and crew drives.
Completes a broad variety of administrative tasks for the executive team including: managing an extremely active calendar of appointments; composing draft emails and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas;and compiling documents for travel-related meetings.
Research, prioritizes, and follows up on incoming issues and concerns addressed to the executive team,including those of a sensitive or confidential nature. Determines appropriate course of action referral, or response.
Provides a bridge for smooth communication between the executive team and internal departments; demonstrating leadership to maintain credibility, trust and support with all staff.
Works closely and effectively with the executive team to keep them well informed of upcomingcommitments and responsibilities, following up appropriately.
Provides leadership to build relationships crucial to the success of the company, and managesa variety of special projects for the executive team, some of which may have organizational impact.
Successfully completes critical aspects of deliverables with a hands-on approach, includingdrafting acknowledgement emails, personal correspondence, and other tasks that facilitate the executive team’s ability to effectively lead the company.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through onprojects to successful completion, often with deadline pressures.
Responsible for scheduling internal and client meetings [and attending all meetings (notetaker)].
Assists in coordinating the agenda of Directors’ Meetings and Weekly Team Meetings.
Ensures that the executive teams bios are kept updated with the help of the CMO, and responds torequests for materials regarding the executive team (for speaking engagements) and the company in general.
Follows up on contacts made by the executive team and supports the cultivation of ongoingrelationships.
Strong organizational skills that reflect the ability to perform and prioritize multiple tasksseamlessly with excellent attention to detail.
Very strong interpersonal skills and the ability to build relationships with Directors, staff, clientsand vendors; including personal/professional friendships.
Expert level written and verbal communication skills.
Demonstrated proactive approaches to problem-solving with strong decision-making capability.
Highly resourceful team-player, with the ability to also be extremely effective independently.
Proven ability to handle confidential information with discretion, be adaptable to variouscompeting demands, and demonstrate the highest level of vendor/client service and response.

Bachelor’s degree preferred
At least 3-5 years of administrative experience with executive, C-suite members
Beverage industry experience preferred
Flexibility to travel up to 30% of the year
Strong working knowledge of Microsoft and Google Suite
Incredibly organized and detail oriented
Ability to work independently and prioritize multiple assignments
Ability to anticipate the needs of senior management, and to proactively solve problems efficiently
Strong interpersonal communication skills with the ability to effectively interact and influence others
